  • Artwork Provenance & Ownership: To protect the long-term value, authenticity, and legal title of artworks, we retain names, bills of sale, and ownership histories indefinitely. This includes data required to manage Artist’s Resale Rights (ARR).

  • Copyright & Intellectual Property: We retain copyright registrations, image reproduction rights, and licensing agreements indefinitely.

  • Testimonials and Customer Reviews: We retain your written reviews, testimonials, and names indefinitely across our digital and physical marketing channels, or until you withdraw your consent and request their removal.

  • Promotional Photography and Media: Images or videos of you at our events, workshops, or alongside purchased art are retained indefinitely for archival and marketing purposes across all our operational platforms, or until you object and request their deletion.

  • Mailing Lists & Newsletters: If you have opted-in to receive our updates, gallery invitations, or newsletters, we will retain your contact details indefinitely until you withdraw your consent or unsubscribe.

  • Customer Transactions & Tax Records: We keep invoices, billing data, and sales receipts for 6 years following the end of the financial year in which the transaction occurred, to comply with HMRC tax regulations.

  • Contracts & Consignment Agreements: We keep legal agreements between artists, galleries, and clients for 6 years after the contract or agreement has ended.

  • Shipping & Delivery Records: We retain delivery addresses, tracking numbers, shipping manifests, and customs declarations (for international sales) for 6 years to comply with UK tax, trade, and financial audit regulations.

  • Insurance & Liability Records: We retain business insurance policies, transit insurance tracking, and liability logs for 6 years after the policy or claim expires.

  • Event Bookings & Attendance: We keep details of workshop registrations, ticket bookings, and temporary visitor logs for 1 year following the conclusion of the event to manage follow-up queries or insurance liabilities.

  • General Enquiries: We retain correspondence and contact information from general enquiries for 2 years after our last contact with you.
